By booking a trip with Students on Tour NZ, you agree to the following Terms and Conditions. These terms outline the responsibilities of both the company and the participant to ensure a safe, enjoyable, and professional travel experience.

1. Booking and Payments

1.1. Full payment is required at the time of booking. Payments are to be made via credit card of bank transfer.

1.2. Late payments may result in the cancellation of your booking without refund.
1.3. Prices are quoted in NZD and include all taxes and applicable fees unless stated otherwise.

2. Cancellations and Refunds

2.1. Cancellations must be made in writing and signed by parent, agent or school coordinator. They are subject to the following refund policy:

• Cancellations made four weeks before departure, Students on Tour NZ will charge a $300 administration fee. The rest will be refunded.
• Cancellations made less than four weeks before departure but more than 14 days before the starting date of the tour Students on Tour NZ will refund your 50% of the tour price, only if the tour has been paid for in full.
• Cancellations less than 10 days before departure, no refund.

2.2. Students on Tour NZ reserves the right to cancel a tour due to insufficient numbers, safety concerns, or unforeseen circumstances. In such cases, participants will receive a full refund or the option to transfer to another tour.
2.3. No refunds will be issued for unused services or missed activities due to personal circumstances.

3. Travel Insurance

3.1. Comprehensive travel insurance is mandatory for all participants and must cover accidents, medical emergencies, cancellations, and personal belongings.
3.2. Students on Tour NZ is not responsible for any costs incurred due to lack of adequate insurance.

4. Health and Safety

4.1. Participants must disclose any medical conditions, allergies, or dietary restrictions at the time of booking.
4.2. Students on Tour NZ follows robust health and safety protocols, but participants must also adhere to all safety instructions provided by guides and activity providers.
4.3. Students are responsible for their personal health and fitness to participate in the activities outlined in the itinerary.

5. Behavior and Conduct

5.1. Participants are expected to behave respectfully and responsibly at all times during the tour.
5.2. Students on Tour NZ reserves the right to remove any participant whose behavior is deemed disruptive, dangerous, or inappropriate, without refund.
5.3. Any damages caused to accommodation, transport, or activity venues by a participant will be their financial responsibility.

6. Accommodation and Rooming

6.1. Accommodation is typically arranged in twin or triple-share rooms with same-gender roommates.
6.2. Specific accommodation requests may be accommodated where possible but cannot be guaranteed.

7. Transportation

7.1. All transport is provided by licensed, professional drivers, and seat belts must be worn at all times.
7.2. Delays or disruptions caused by traffic, weather, or other unforeseen circumstances are not the responsibility of Students on Tour NZ, though every effort will be made to minimize inconvenience.

8. Activities and Itineraries

8.1. While every effort is made to adhere to the advertised itinerary, Students on Tour NZ reserves the right to make changes due to weather, safety concerns, or operational requirements.
8.2. Participation in all activities is voluntary, and students are responsible for assessing their ability to participate.

9. Liability

9.1. Students on Tour NZ and its representatives are not liable for any injury, illness, loss, or damage to personal property during the tour, except where required by law.
9.2. Any claims against Students on Tour NZ must be made in writing within 30 days of the trip’s conclusion.

10. Parental Consent (For Under-18 Students)

10.1. For participants under the age of 18, written parental or guardian consent is required at the time of booking.
10.2. Parents/guardians are responsible for ensuring their child complies with these Terms and Conditions.

11. Photo and Media Release

11.1. By participating in a tour, you grant permission for Students on Tour NZ to use photographs and videos taken during the trip for promotional purposes unless explicitly stated otherwise in writing.

12. Force Majeure

12.1. Students on Tour NZ is not liable for cancellations or disruptions caused by events beyond its control, including but not limited to natural disasters, pandemics, strikes, or government restrictions.

13. Governing Law

13.1. These Terms and Conditions are governed by the laws of New Zealand, and any disputes shall be resolved under New Zealand jurisdiction.
